What is an access control system?

An access control system is an electronic security solution that regulates who can enter or exit a physical location — and when. It authenticates users through credentials such as RFID cards, biometric fingerprints, face recognition, NFC tags, or PIN codes, and either grants or denies access based on pre-set rules.

Every access event is logged with a timestamp, user ID, and location — giving organisations complete visibility over who is where, and when.

A complete system typically includes a credential reader (RFID, NFC, or biometric), an access controller (4-door panel), a locking mechanism (EM lock, boom barrier, or turnstile), and a cloud dashboard for real-time monitoring and reporting.

Why access control matters for your organisation

Modern organisations need auditable, automated, and remotely manageable access infrastructure to protect people, assets, and compliance.

Rs.4.2L+

Average cost of a security breach

A single unauthorised entry can cost organisations in losses, liability, and reputational damage.

73%

Of thefts are inside jobs

Granular access logs and time-zone restrictions reduce internal theft by limiting access to need-to-know zones.

100%

Audit trail on every entry

Every access event is logged with user ID, timestamp, and location — ready for compliance reports in seconds.

Zero

Manual registers required

Automate visitor logs, attendance records, and shift reports — eliminating paper-based processes entirely.

Key features of Nialabs access control

Every deployment is built on the same cloud-connected platform — giving you consistency across all sites, products, and credential types.

Multi-modal Authentication

RFID, NFC, biometric fingerprint, face recognition, PIN, and mobile credentials — all from one system.

Offline-first Operation

Stores 1,00,000+ event logs and 30,000+ user records locally. No internet = no disruption. Auto-syncs on reconnect.

Real-time Cloud Dashboard

Monitor all doors, all sites, and all users live. Set alerts, generate reports, and manage permissions remotely.

Time-zone Access Rules

Define who can access which door, on which days, during which hours — with automatic overrides for holidays.

ERP and HRMS Integration

REST APIs connect access control data directly to your payroll, SIS, WMS, or ERP — no manual data transfer.

India-compliant Hardware

UHF readers operate at 865–867 MHz per TRAI/WPC guidelines. Tested for Indian power, heat, dust, and humidity.

Anti-tailgating Enforcement

Tripod turnstile integration ensures only one person passes per valid credential — eliminating piggybacking.

Visitor Management

Issue time-limited NFC or RFID visitor passes at reception. Auto-expire after visit. Full visitor log on dashboard.

How our access control system works

From the moment a credential is presented to the moment a door opens — here is what happens.

1

Credential Presented

User taps RFID / NFC card, uses biometric, PIN, or UHF tag at range. UHF readers detect credentials from up to 15 metres.

2

Signal Captured & Forwarded

Reader captures the unique credential ID and forwards it to the 4-door access control panel via TCP/IP or RS485 — in milliseconds.

3

Controller Validates Credentials

Panel checks credential against stored user database, verifies time-zone rules, and confirms permission for that specific door.

4

Entry Granted or Denied

If authorised: relay triggers — EM lock releases, boom barrier lifts, or turnstile arm rotates. If denied: rejection signal, no gate action.

5

Event Logged & Synced

Every access event — granted or denied — is logged with user ID, timestamp, door ID, and credential type. Data syncs to cloud in real time.

6

Reports & Alerts Generated

Cloud dashboard generates daily attendance reports, late-entry alerts, unusual-access notifications, and compliance-ready audit logs.

Access Control FAQs

An access control system controls who can enter or exit a physical location using electronic credentials such as RFID cards, fingerprints, face scans, or NFC tags. When a user presents their credential, the controller verifies it against an authorised user list and either grants or denies access — logging every event with a timestamp.
Nialabs offers a complete access control ecosystem: 4-door access control panel, UHF RFID readers (long-range), RFID cards, UHF RFID cards, NFC access cards, and tripod turnstile gates. All components integrate with Nialabs' cloud software, and can also connect to third-party ERP, HRMS, and school management systems via REST API.
Standard RFID cards work at close range (typically a few centimetres to 10 cm) — ideal for door tap-access. UHF RFID operates at 865–867 MHz in India and reads tags from 3 to 15 metres, making it ideal for vehicle gates, parking management, and hands-free pedestrian access in large spaces.
Yes. Nialabs controllers store user credentials and event logs locally (up to 1,00,000 logs). When internet connectivity is restored, all data automatically syncs to the cloud dashboard. This hybrid model ensures zero downtime even during power or network interruptions — critical for Indian conditions.
A tripod turnstile acts as a physical barrier that only opens upon receiving a valid signal from an access controller. It connects to the controller's relay output, meaning the same RFID card, NFC tag, biometric scan, or face recognition that validates identity also triggers the turnstile to rotate — creating a seamless, one-person-at-a-time controlled entry point.
Prices vary by technology and scale. A basic single-door RFID system starts from approximately Rs.8,000–Rs.15,000. A 4-door access control panel setup ranges from Rs.25,000–Rs.60,000 depending on lock type and credentials. UHF long-range systems and AI face recognition terminals are priced on request based on site requirements. Contact Nialabs for a free, customised quote.
